Managing bans on patrons

There are a number of methods available to handle patron bans. This page explains more.

Who can ban a patron?

When it comes to banning patrons, what is possible from the mobile app will depend on the permission level of the logged in user.  

Only a user with the permissions to log into the Portal, such as a Venue Manager, can actively ban a patron. This type of user can create bans from a scanned patron, create a manual ban, or approve a pending ban that has been submitted by a scanner user via the Venue Entry App.

A Scanner user can submit a ban from the Venue Entry App, however the submitted ban becomes a pending ban, which means it is not yet activated. The pending ban must be approved by a user that can log into the Portal. Once it has been approved, the ban becomes active.

  • Operators with the Venue Scanner role can only request a ban via the app.  A Manager must approve the ban from the Portal before the ban is active.  See app instructions here.
  • Operators with the Venue Manager role can create bans via the app that are automatically active.  

Types of bans shown in the portal

The ​Bans page displays all the bans relevant to your venue and allows you to manage them. Bans are relevant to your venue if:

  • The ban was created by your venue.
  • A patron has been banned by a different venue and has been scanned by your venue in an attempt to enter your venue; or
  • A patron has a ban created by the State government (e.g., prohibition order, barring order, court order, etc.) and has been scanned by your venue in an attempt to enter your venue.

The Bans page provides functionality to manage bans that have been created by your venue, allowing you to view, approve, reject, update, and remove bans.    

Viewing bans

To view recent scans, login to the Venue Entry Management Portal and click the Bans tab in the header.

The Bans page offers two view options:

  1. List view – displays ban records as a list, with the focus on summary information displayed in columns.
  2. Tile view – displays ban records as tiles, with the focus on the patron’s photo.

You can change the view using the list/tile options on the top right of the page.

List View

The list view displays summary information on the scan, including:

    • Image of the banned patron.
    • Full name.
    • Ban start date.
    • Ban end date.
    • Ban type.
    • Actions dropdown.

Selecting a ban record will display additional information:

    • Ban length.
    • Ban reason.
    • Ban details.

Actions buttons are available to the user:

    • Edit – allows the user to modify the ban length, reason and/or details.
    • Approve – allows the user to approve a pending ban.
    • Cancel – allows the user to reject a ban – where a ban is:
      • Awaiting Approval – this will delete the ban.
      • Approved – this will archive the ban.
    • Delete – allows the user to delete a ban.

Tile View

The tile view displays the photo of the patron, and additional supporting information:

    • Full name.
    • Ban Type.
    • Ban start date.
    • Ban end date.

Filtering Bans

On the Bans page, select the filter button. This will display the filter options.

Select the filter(s) that you wish to filter the ban records with:

  • Ban Status / Display Only – to display bans that reflect the selected status. E.g., Active and Pending
  • Ban Types – the type of ban, which could be a ban applicable to your venue only, or a Global ban that is notified at other venues nationwide.
  • Ban Start Date range – the date/time range during which the bans were created.
  • Ban End Date range – the date/time range during which the bans will expire.
  • Age Group – age of the patron.

Smart Search Bans

On the Bans page, enter a keyword into the smart search field and press the Enter key. The smart search will search all fields of the ban records with the keyword(s) you provided.

Keywords can include, but are not limited to:

  • First name
  • Surname
  • Full name
  • Date of birth
  • Ban type
  • Ban reason
  • Ban description words

What the ban statuses mean

The ban statuses displayed in the system help Venue Managers monitor, action and review the bans being requested by staff scanning patrons.  The statuses are:

  1. Awaiting approval - This ban has been submitted by a scanner user via the Venue Entry scanning application. The ban is pending and not active until it has been approved by an authorised person from the Portal.
  2. Approved - This ban has been approved by an authorised person and is therefore active.
  3. Rejected - This ban was either:
    1. Submitted by a scanner user via the Venue Entry scanning application, and upon review by an authorised person, was rejected in the Portal. Therefore, this ban is not active.
    2. Previously an active ban, and upon review by an authorised person, was rejected in the Portal to inactivate the ban.

What the ban results mean

The ban results can be one of the following:

This is a ban created by your venue.

This is a ban created by another venue.

Banned from <venue> until <date>.

Red

This is a ban that has been created by the State government and applies to all venues in your State or Territory.

Active ban until <date>.

Banned

Orange

This is a ban that has been created by the government of another State or Territory and applies to all venues in their State or Territory.

Active ban until <date>.


How to create a ban

Only a user with the appropriate permissions to log into the Portal, such as a Venue Manager, can actively ban a patron. This type of user can create bans from a scanned patron, create a manual ban, or approve a pending ban that has been submitted by a scanner user via the Venue Entry App.

A scanner user can submit a ban from the Venue Entry App, however the submitted ban becomes a pending ban, which means it is not yet activated. The pending ban must be approved by a user that can log into the Portal. Once it has been approved, the ban becomes active.

There are two ways you can create a ban in the Portal:

Creating a ban on a previously scanned patron or creating a manual ban when a scan was not possible.

To create a ban from a previously scanned patron:

  1. Click on the Patrons tab to display the Patrons page.
  2. Locate patron you wish to ban from the patrons list and click on the scan of the patron you would like to ban.
  3. Click the three-dot icon and select Ban.
  4. A pop-up will appear, requiring you to enter the ban details. Enter the ban details required – mandatory fields are denoted by an asterisk (*).
  5. Click Save Ban to create the ban.

To create a manual ban:

  1. Click on the Bans tab to display the Bans page.
  2. Click the green Add new ban button in the top right corner. A pop-up will appear, requiring you to enter the details of the patron you wish to ban and the ban details.
  3. Enter the details required – mandatory fields are denoted by an asterisk (*).
  4. Click Save Ban to create the ban.

How to approve a ban request

To approve a pending ban:

Go to the Bans tab in the header to bring you to the Bans page.

  1. The bans awaiting approval (pending bans) are displayed at the top of the ban list. Click on a pending ban in this list to display the ban details.
  2. Review the ban details and if you decide to approve the ban, click the three-dot icon to reveal the actions menu
  3. Click Approve

How to reject a ban request

To reject a pending ban:

  1. Go to the Bans tab in the header to bring you to the Bans page.
  2. The bans awaiting approval (pending bans) are displayed at the top of the ban list. Click on a pending ban in this list to display the ban details.
  3. Review the ban details and if you decide to approve the ban, click the three-dot icon to reveal the actions menu
  4. Click Reject
  5. This will remove the ban request from the ban list.

How to delete a ban request

To delete a ban, follow these steps:

  1. Go to the Bans tab in the header to bring you to the Bans page.
  2. The bans awaiting approval (pending bans) are displayed at the top of the ban list. Click on a pending ban in this list to display the ban details.
  3. Review the ban details and if you decide to approve the ban, click the three-dot icon to reveal the actions menu
  4. Click Delete
  5. This will permanently delete the ban and remove the ban from the ban list.  

FAQs on reversing a ban decision

Q: Can I retrieve a deleted ban?
No. Once you delete a ban, it is permanently deleted.

Q: Can I deactivate a ban that has been approved?
Yes. Select the ban you want to deactivate, click the three-dots icon and select Cancel from the dropdown.

Once deactivated, the ban status will change to Rejected and the ban archived. To view the ban again, simply filter for Rejected bans. 

Q: What is the difference between a deleted ban and a deactivated ban?
A deleted ban is permanently deleted. You should only delete a ban if it was created in error.

A deactivated ban is a ban that was previously active, however an authorised person has determined that the ban is no longer required for the patron for the time being, and the ban can be deactivated. The ban is still viewable in the Portal; simply filter for Rejected bans.
