Viewing and managing scanned patrons

The Patrons page provides information on scans that were performed by your venue. Here is where you can view scan information, and search and filter the scans.

Viewing scans

From any screen in the Venue Entry Management Portal select the Patrons tab in the header to bring you to the Patrons page. 

To view recent scans, log in to the Venue Entry Management Portal and click the Patrons tab.  The Patrons tab is accessible from any screen once logged in.

You can view the scanned patrons either as either a list or tile view. Change the view using the list/tile icons at the top right of the screen.

  1. List view – displays scan records as a list, with the focus on summary information displayed in columns.
  2. Tile view – displays scan records as tiles, with the focus on the patron photo taken at the time of the scan.

Click anywhere on a scan record to display additional information:

  • Scanned details - information that was read from the document:
    • Date of birth
    • Document type (e.g., Driver’s License, Passport).
    • Country/State.
    • Document number.
    • Document expiry date.
  • Document image - captured image of the scanned document.
  • Ban details (where there is a current ban on the patron):
    • Ban commencement date.
    • Ban length
    • Ban reason
  • Transaction ID

What do the scan results mean?

The different scan results are outlined in the table below.

Action

Description

What this means

Accepted

The scan operator decided to allow the patron to enter the venue.

  • The patron’s scan result was valid.
  • The patron’s scan result showed their ID has expired, but the operator deems it OK to let the patron in.
  • The patron’s scan result displayed a venue ban for another venue, but the operator decides to let the patron in anyway.
  • The operator decides to let the patron in but flags them for later review (see ‘Flag’ action below).

Rejected

The scan operator decided not to allow the patron to enter the venue.

  • The patron has an active ban that was issued by your venue or your State Government.
  • The patron is underage.
  • The patron’s scan result was valid, however is intoxicated or behaving badly outside of the venue.

Flagged

The scan operator wants to flag the patron for later review.

  • The patron’s scan result was valid, however is intoxicated or whose behaviour needs to be monitored.
  • The patron’s scan result was valid, but you want to create a venue ban on them later.

Timeout

The scan operator did not action the scan and the screen cleared after 30 seconds.

Unknown

The scan operator has signed out or closed the App without actioning the scan.

Reset

The scan operator did not complete the Digital ID capture process.

Filtering scans

Use the filter and search functions to quickly find and then manage scanned patrons.  On the Patrons page, select the filter button in the top right of the screen. This will display the filter options.

Select the filter(s) that you wish to filter the scan records with:

    • Scan Status / Operator action – the action that was taken by the operator after the scan result was displayed.
    • Date range – the date/time range during which the scans were performed.
    • Operator – user who performed the scan.
    • Age Group – age of the patron.
